Microsoft Teams
Reviewers don’t have to keep checking VeriProof for new work. When a review is assigned to someone, VeriProof sends them a card in their personal chat with the VeriProof app. They can decide right from the card.
The card updates in place when the review is due soon, becomes overdue, is reassigned, gets a decision, or is resolved.
What a Teams card shows
- The application name
- Why the review is needed, in plain language
- The person’s role in the review
- When it’s due, shown in their own time zone
- The priority, when one is set
- A case reference for support
While decisions in Teams are on, the card can also show the review’s details and fields up to your data limit. Prompts, model responses, tool data, review notes, and other people’s details never appear in Teams.
Decide in Teams
A reviewer can decide from their own card:
- Approve. Approving a high-priority review asks them to tick a box confirming they checked the details.
- Reject, with a reason.
- Fill in the response the review asks for, such as an amount, a choice, a date, or a short answer.
- Ask the application a question. The review stays open until it answers.
Anything Teams can’t collect faithfully opens in VeriProof with Review in VeriProof. Changes to the action’s data are always made in VeriProof.
Every decision made in Teams is recorded in VeriProof, which notes that it was made in Teams. It reaches the application exactly the way a decision made in VeriProof does.
Teams doesn’t ask for an extra sign-in, such as MFA, before a decision. Decisions never happen in Teams group chats.
Set the data limit
Most sensitive data Teams may show and collect is Public and internal by default. Choose Public only to keep internal details in VeriProof too.
Confidential and sensitive details always stay in VeriProof. A review whose required fields are above this limit opens in VeriProof.
Turn decisions in Teams off
Let reviewers decide in Teams is on by default. Turn it off if you want every decision made in VeriProof. Cards then link to the review, and buttons on cards sent earlier no longer record anything.
Connect Teams
You need VeriProof administrator access. A Microsoft Entra administrator also needs to approve the app for your organization.
- Open Settings → Microsoft Teams.
- Select Connect Microsoft Teams.
- Sign in to Microsoft as an Entra administrator and approve the VeriProof app.
- When you return to VeriProof, check that the status shows Connected.
- Ask your Teams administrator to upload the VeriProof app package and make it available to reviewers. See Set up Microsoft Teams.
Teams must use the same Microsoft organization your team uses to sign in to VeriProof. One Microsoft organization can connect to only one VeriProof organization.
How reviewers connect
Each reviewer opens the VeriProof app in Teams once.
- If they sign in to VeriProof with the same Microsoft account, they’re connected right away.
- Otherwise, the app sends a Connect in VeriProof link. They sign in to VeriProof and confirm. The link works once and expires after 15 minutes.
Until a reviewer is connected, VeriProof doesn’t send them review cards. Their work is always in Inbox and email.
Reviewers send reviews in their chat with the app, or select Show your reviews, to see their open reviews, overdue ones first. help shows what the app does, and offers Disconnect my Teams account to a reviewer who wants to stop getting cards in Teams. It removes only their own connection.
Group reviews in a team channel
When an application’s reviews go to a group, you can post them in one Teams channel instead of messaging everyone in the group. You choose the channel in the application’s reviewer routing, not on this page. Post group reviews in a team channel covers the setup.
If a chosen channel stops qualifying, for example because a guest joins, this page shows A group review channel stopped working with what to fix. Those group reviews go to reviewers as personal messages until it’s fixed.
Check delivery
The Delivery panel shows how many people are connected, how many have the app, when the last message was delivered, and the last problem, if any.
Select Send test card to me to send yourself a sample card. You need to have connected your own Teams account first.
Pause or disconnect
- Turn off Send review notifications in Teams to pause messages. Nothing else changes.
- Select Disconnect Microsoft Teams to remove the connection. VeriProof deletes the reviewer connections, chat addresses, and channel details it held from your tenant. Reviewers need to connect again if you reconnect later. Messages already in Teams stay there.
