Set up Slack

This guide is for the people who set up Slack for your organization: someone who manages integrations in VeriProof and a Slack administrator. It can be the same person.

Once it’s set up, reviewers get a direct message from the VeriProof app when a review is assigned to them. They can approve, reject, respond, or ask the application a question from that message, and every decision is recorded in VeriProof. Slack settings explains what reviewers see.

Before you start

You need:

  • Permission to manage integrations in VeriProof.
  • Permission to add apps to your Slack workspace. On Enterprise Grid, an org owner or org admin can add the app for the whole organization.

Add the app to Slack

  1. In VeriProof, open Settings → Slack.
  2. Select Add to Slack.
  3. In Slack, choose your workspace, review what the app can do, and select Allow.
  4. Slack returns you to VeriProof. The status shows Connected when the install is confirmed.

On Enterprise Grid, an org administrator can install the app once for the organization and then add it to the workspaces your reviewers use.

Help reviewers connect

Each reviewer connects their Slack account once. There are two ways:

  • Open the VeriProof app in Slack and go to its Home tab. Select Connect in VeriProof, sign in to VeriProof, and confirm.
  • In VeriProof, select Send me a link in Slack on Settings → Slack. VeriProof finds the Slack account that uses the same email address and sends the link there.

Either way, the link works once and expires after 15 minutes. Email only helps find the account. The link is confirmed from Slack by the person who signed in to VeriProof.

Decide whether reviewers can decide in Slack

Let reviewers decide in Slack is on by default, so reviewers can decide from their own message. Turn it off in Settings → Slack if your organization wants every decision made in VeriProof.

While it’s on, Most sensitive data Slack may show and collect decides what messages and forms may show and collect: Public and internal (the default) or Public only. Confidential and sensitive details always stay in VeriProof.

Check delivery

Back in Settings → Slack, connect your own account, then select Send test message to me. The Delivery panel shows how many people are connected and the last problem, if any.

Post group reviews in a private channel

Some applications send their reviews to a group, and anyone in the group can claim one. Instead of messaging every person in the group, VeriProof can post each of that application’s group reviews once in a private Slack channel.

You can set this up if you manage reviewer routing in VeriProof and you’re in the channel yourself. Each application can have one channel.

Connect your own Slack account

Slack keeps private channels hidden from people who aren’t in them, so VeriProof lists only the private channels you and the app are both in. Connect your Slack account first, the same way reviewers do. If you haven’t, the channel card shows Send me a link in Slack. Open the link from VeriProof in Slack, then select Refresh list.

Add the app to the channel

In Slack, open the private channel’s settings and add the VeriProof app under Integrations.

Choose the channel

In VeriProof, open Settings → Human review and escalation, switch to Application setup, and choose the application. Under its reviewer routing, find Slack channel for group reviews and pick the channel.

You only see this once the application has a group that can claim its reviews and Slack is connected.

Check it

Select Check channel. VeriProof accepts a channel when it:

  • Is private and isn’t shared with another workspace or organization.
  • Has the VeriProof app in it.
  • Has 500 members or fewer.
  • Has only full members of your organization: no guests, no one from another organization, and no deactivated accounts.

The check also shows how many people are in the channel, how many are connected to VeriProof, and how many can claim the application’s group reviews.

Confirm who can see what

Tick the box confirming that everyone in the channel may see the application name, the reason for review, and the due time for each group review. Then select Save channel.

VeriProof posts one introduction in the channel: which application’s group reviews will appear there, that you set it up, and how to stop the posts.

What the channel sees

VeriProof posts each group review once. While decisions in Slack are on, the post has a Claim review button. Otherwise it has Claim in VeriProof, and claiming happens in VeriProof. Nobody decides in the channel itself.

  • Only a full member of your organization who may take the application’s group reviews can claim one. If two people claim at once, one gets the review and the other sees a note, visible only to them, that someone else claimed it.
  • When someone claims it, the post says Claimed by and their name, for everyone in the channel. Slack shows everyone the same message, so the review arrives in the claimer’s direct message from VeriProof, where they decide. A note only they see in the channel points them there.
  • When the review is closed, the post updates to match.
  • Group members who aren’t in the channel still get a direct message.

If the channel stops qualifying

VeriProof checks the channel again before every post and whenever Slack reports a change. If a guest joins, the channel is shared or archived, or the app is removed, VeriProof stops posting there. Open posts lose their details, and those reviews go to group members as direct messages.

Settings → Slack and the application’s reviewer routing both show what changed and how to fix it. After you fix it, choose the channel again.

Stop posting in a channel

In the application’s reviewer routing, select Stop posting in Slack. Group reviews go back to a direct message for each reviewer, and open posts in the channel lose their details.

What the app can do in Slack

Slack shows these permissions when you add the app:

PermissionWhy VeriProof needs it
Send messages as VeriProofSend and update review messages and group review posts.
Start direct messages with peopleReach the person a review is assigned to.
View people in your workspaceCheck that someone is a full member, not a guest or someone from another organization.
View email addressesFind the Slack account to send a connection link to. It never connects an account by itself.
View and preview links in messagesPreview VeriProof review links that people share.
View basic information about direct messages, group direct messages, and private channels the app is inCheck where a link was shared before a preview shows any details, list the private channels you and the app share when you choose one for group reviews, and check who’s in a group review channel.

The app doesn’t read message history or list public channels. Apart from review link previews, it posts only in direct messages and in a channel you chose for group reviews.

What Slack receives

Review messages show the application name, the reason for review, the person’s role, the due time, the priority, and a case reference. While decisions in Slack are on, a reviewer’s own message and its forms also show the proposed action and the review’s details and fields up to your data limit, and Slack receives the answers the reviewer types in a form. Group review posts show the application name, the reason for review, the due time, the priority, a case reference, and who claimed the review, but never who decided or how. Prompts, model responses, tool data, review notes, and other people’s details stay in VeriProof.

A review link shared in Slack previews its application, status, reason, and due time only in a direct message or a private channel that isn’t shared outside your organization, and only when the person sharing it is working that review. Anywhere else, the preview only says it’s a VeriProof review.

Guests and people from other organizations, including Slack Connect partners, can’t use the VeriProof app for your organization. VeriProof refuses requests from them.

Troubleshooting

What you seeWhat to do
UnavailableSlack isn’t set up for this VeriProof environment yet. Contact VeriProof support.
Reconnect neededSlack removed the app or its access. Select Add to Slack again. Reviewers connect their accounts again, and group review channels are chosen again.
Connect your Slack account to choose a channelSelect Send me a link in Slack on the channel card, open the link in Slack, then select Refresh list.
A channel you expect isn’t listedYou and the VeriProof app must both be in it. Join the channel or add the app, then select Refresh list.
Approve new Slack permissionsA VeriProof update needs more from Slack. Someone who manages integrations selects Reconnect Slack and approves the change.
A group review channel stopped workingFollow the fix listed for each channel, then choose the channel again in that application’s reviewer routing.
Slack asked us to slow downWait the time shown, then try again. VeriProof also waits and retries messages on its own.
A reviewer doesn’t get messagesCheck that they connected their Slack account. Their work is still in Inbox and email.
A reviewer is asked to reconnect before decidingTheir account link is more than 90 days old. They reconnect from the message and sign in to VeriProof once.
We couldn’t find a Slack account with your VeriProof emailOpen the VeriProof app’s Home tab in Slack and use the link there.
Slack was unavailableNothing, usually. VeriProof keeps trying for about two hours and updates the same message instead of sending a second one.
Messages not delivered shows a numberVeriProof stopped trying after about two hours. Those reviewers still have the work in Inbox and email. The next update to a review sends its message again.

When someone leaves

When you deactivate a team member or revoke their invitation, VeriProof removes their Slack account connection and the messages it tracked for them. If they come back, they connect their Slack account again.

Disconnect

In Settings → Slack, select Disconnect Slack. VeriProof removes its app from your workspace and stops sending messages. Messages already in Slack stay there.

What VeriProof deletes when Slack is removed

When you disconnect Slack, or someone removes the VeriProof app in Slack, VeriProof deletes what it kept from your workspace right away:

  • Reviewer account connections, including old ones, and unused connection links.
  • Its records of the messages it sent, such as channel and message IDs.
  • Every group review channel you chose. Those applications’ group reviews go to direct messages until you choose a channel again.
  • The workspace or organization ID and name, the app’s own Slack ID, the granted permissions, and the access tokens.

Decisions reviewers made in Slack stay in VeriProof as part of each review’s record. The audit log notes the deletion and what it covered.
